Start with a project data sheet
Give every item a unique tag number. Record the medium, operating conditions, intended on-off or regulating duty, and expected operating frequency. Include the project specification and identify any missing information as an open question. Avoid asking suppliers to infer the full duty from a product name or an old purchase order.
Document the installation interface
Supply the mating flange specification, nominal size, available space, and installation drawing. Ask the supplier to return a dimensioned drawing showing the proposed valve and operator assembly. Have the project reviewer check the connection arrangement, installation clearance, and access for operation against the actual piping layout before approval.
Separate the valve from the automation package
For powered operation, ask for separate identification of the valve, actuator, mounting hardware, and accessories. Provide the available electrical or pneumatic supply and the required control interface. State the intended response to loss of power or air, and ask the supplier to describe how the proposed package meets that requirement.
Request the actuator sizing basis rather than accepting a match based only on nominal valve size. Differential pressure is part of the sizing procedure in Emerson's actuator sizing guidance; the selected valve and actuator manufacturer's own data must govern the proposed assembly.
Ask for an itemized quotation
- Exact valve model and confirmed material configuration.
- Operator or actuator model and included mounting components.
- Included controls, feedback devices, and accessories.
- Drawings, inspection records, and other agreed documents.
- Packaging, lead time, quotation validity, and exclusions.
Keep optional items on separate lines. If a supplier proposes another configuration, request a revised datasheet and an explanation of the differences so that engineering can assess the substitution.
Approve one final configuration
Collect clarifications into a single approved revision before ordering. Where several valve tags share a design, confirm which details are common and which differ. Keep the final quotation, datasheet, and drawing together so receiving personnel can trace the delivered assembly back to the approved item.
